Auto Repair Customer & Vehicle History Software

Keep repair orders, service history, parts, notes, quoted work and vehicle information connected to the customer and the specific vehicle across repeat visits.

The next repair order starts with the last one

An independent repair shop sees the same customers and vehicles over time. The software should make that repeat business easier. When a customer comes back, the shop should be able to find the vehicle, previous repair orders, prior labor and parts, relevant notes, and work that was declined or deferred.

Customer history and vehicle history are related, but not identical

A customer can own more than one vehicle. A vehicle can change owners. Notes about the customer should not accidentally become notes about every vehicle, and vehicle-specific repair history should remain attached to the correct VIN or vehicle record.

That distinction is one reason the 5 Star Support system treats customer and vehicle records as connected but separate entities.

What useful history should preserve

  • Previous repair orders and invoices
  • Labor and parts previously sold
  • Vehicle-specific notes and mileage context
  • Customer notes and communication history
  • Warranty-related records where used
  • Quotes or declined work that may be approved later
  • Payment or unpaid-balance history tied to the correct order

Deferred work is part of history

A customer who says “not today” is not necessarily saying “never.” Saving future labor and parts by vehicle lets the shop bring that work forward on the next visit instead of rebuilding an estimate from scratch or forgetting the recommendation completely.

Find the customer

Search the customer record instead of creating a duplicate every time the phone number is typed differently.

Choose the vehicle

Keep the correct vehicle identity and service history separate when one customer has multiple vehicles.

Review prior work

See what was actually completed before recommending or selling the same work again.

Carry quotes forward

Preserve declined or future work so the next repair order can pick it up quickly.

Keep notes attached

Store internal and vehicle-specific context in the record where the team can find it later.

Build lifetime value

A clean history helps the shop serve repeat customers faster and creates a better foundation for future follow-up.
